Job Description

General Summary:
The pharmacy associate performs non-judgmental pharmacy tasks including clerical (e.g. typing and filing), secretarial, courier, charging, record maintenance, office support, telephone triage and other duties to support the Pharmacy Department.

Essential Functions and Responsibilities:
  1.  Provides clerical support to the Department.
    1. Maintains a clean and safe working environment. Generates professional looking correspondence.  Generates accurate and timely minutes for assigned meetings.
    2. Communicates to supervisor real or potential problems in a timely manner (e.g. personnel problems, workflow, safety concerns, potential adverse events)
    3. Greets visitors and vendors and directs them to the appropriate personnel.
    4. Directs telephone calls to the appropriate personnel.
    5. Uses good judgment and tact with sensitive and confidential issues.
    6. Files papers, records, and reports to the appropriate locations in a timely manner.
    7. Maintains related records and logs in an organized manner.
    8. Arranges meeting set-up, orders rooms, meals, A/V equipment, distributes minutes and notices, etc.
    9. Generates reports as needed.
  2. Manages day-to-day office functions.
    1. Disseminates general pharmacy department incoming mail to the appropriate pharmacy staff member’s mailbox in a timely fashion.
    2. Responds and resolves telephone calls and voice mail messages, refers calls to necessary departments when appropriate.
    3. Processes and tracks invoices, check requests, and purchase orders for office related items, and items not otherwise managed by other pharmacy personnel.
    4. Maintains files and security of administrative records and confidential information.
    5. Maintains and orders when appropriate the necessary office supplies needed to keep the office running efficiently.  Routes and identifies necessary items that need supervisory approval prior to purchase.
    6. Automatically files minutes, financial reports, and items as they arrive in the appropriate file locations.
  3. Management and performance of administrative / quality projects.
    1. Completes requested ad-hoc projects accurately and in a timely fashion.
    2. Gathers and prepares data and completes reports and surveys.
    3. Flexible and adaptive skills to handle other projects, and tasks as assigned in a professional and reliable fashion.
    4. Participates, and completes as assigned any periodic quality tasks such as inspections, or other tasks as required.
    5. Records temperature information for medication refrigerators and freezers as necessary.
  4. Computer and personal office skills.
    1. Demonstrates computers skills utilizing word processing, spread sheet, email, and other software tools as necessary.
    2. Demonstrates effective verbal and written communication skills in maintaining extensive contact with Hospital personnel, other business contacts, community leaders, customers, and medical staff, including physicians.
    3. Displays a professional demeanor at all times.  Capable of handling stress and difficult situations; displays maturity, tact, and confidentiality.
  5. Individual characteristics

    2. Adaptability to adjust to changing conditions and priorities.  Ability to handle stressful situations.

  6. Customer Service.
    1. Portrays a positive attitude by using appropriate verbal and non-verbal communication and listening carefully to patients, and customers.
    2. Identifies and acts to meet and anticipate the needs of external and internal customers and responds appropriately to complaints.
    3. Is considerate of the unique personal needs of patients and others with whom they interact.
    4. Answers the telephone with at least “Hello, Department of Pharmacy Services, this is NAME.  How many I help you.”
    5. Supports the organization, other employees, and departments by working as a team member first and an individual second.
  7. Miscellaneous skills
    1. Complies with all applicable health-system directives, memos, and policies / procedures.
    2. Reviews and maintains the Department directives, pharmacy standard operations, memos, policy and procedures, logs, and other guidelines as directed.
    3. Consistently and without direction supports and participates in patient safety activities including, but not limited to, fire, snow, health, and other related environment of care safety codes, and participating in the development and maintenance of safe practices.
    4. Participates in quality control and performance activities.
    5. Contributes or shares ideas/knowledge that could or does improve the services or care the hospital provides.
    6. Actively participates in Departmental meetings.
    7. Participates in orientation, education, and training programs.  Reviews literature and other materials as assigned.
    8. Completes all competency/skill assessment requirements.
